  • Take ownership of administrative tasks and projects from start to finish, prioritising effectively and maintaining accurate records.
  • Work closely with external clients, internal support functions, team members and global management, communicating clearly and professionally.
  • Organise travel itineraries, including flights, transfers, accommodation, visa requests and restaurant bookings, responding promptly to cancellations or changes.
  • Process expenses, maintain the Gifts & Entertainment register in line with policy, and track costs against project cost centres, including client billing where required.
  • Raise and manage IT, telecoms and market data requests, following through to completion and keeping stakeholders informed.
  • Coordinate meeting rooms, refreshments, video conferencing and other hospitality requirements.
  • Assist with printing, scanning and pitch book binding.
  • Arrange logistics for annual conferences, roadshows, client and industry events, including tickets, travel, accommodation and executive or roundtable meetings.
  • Coordinate administration for joiners, movers and leavers, including system access, software requests, leaver documentation and handover letters.
  • Arrange vendor onboarding and purchase orders, tracking progress through to completion.
  • Coordinate international visitor arrangements, notify relevant stakeholders and complete visitor forms.
  • Collaborate with fellow M&A assistants and provide cover during leave or periods of increased activity.

Skills and Experience

  • Experience as an Executive Assistant, Personal Assistant or Team Administrator in banking, finance or another highly regulated environment.
  • Practical knowledge of diary management, travel coordination and expense administration.
  • Organisational skills and attention to detail, with the ability to manage multiple priorities and follow tasks through to completion.
  • Hands-on knowledge of Concur, Microsoft Excel and Word.
  • A proactive, adaptable approach, remaining calm and professional when requirements change.
  • Clear written and verbal communication skills, with confidence engaging with clients, senior colleagues and internal teams.
