About us:
King’s College London’s Directorate of Estates & Facilities is responsible for managing and developing the university’s diverse estate across five central London campuses, sport grounds and residences. With more than 100 buildings ranging from historic 18th‑century landmarks to modern, purpose‑built facilities, the directorate ensures that King’s provides high‑quality, safe and accessible spaces for teaching, research, student life and community activity.
The Campus and Minor Projects (CMP) team delivers end‑to‑end management of small to medium‑sized projects, ensuring high‑quality improvements across the university’s estate.
About the role:
The Programme Coordinator supports the effective delivery of capital, lifecycle and campus-related projects across the DSO team. The role provides governance, financial, administrative, operational and support to Project Managers, Assistant Directors and the wider Estates teams.
The postholder ensures that project data, forecasting, procurement processes, governance documentation and digital systems are accurate, timely and compliant with internal standards. They play a key role in maintaining high‑quality project control, reporting and communication across the directorate.
In addition, the Programme Coordinator provides day-to-day office support, including coordinating meetings, preparing agendas and taking accurate minutes, managing follow-up actions and maintaining records. The role is responsible for office administration and supplies, ensuring appropriate stock levels, ordering equipment and acting as a key point of contact for office-related queries.
The postholder also supports recruitment and onboarding activities, including coordinating recruitment timelines, arranging interviews, liaising with HR, preparing documentation, and supporting the induction of new starters within the team.

About you:
To be successful in this role, we are looking for candidates to have the following skills and experience:
Essential criteria
1. Demonstrable experience providing high‑quality administrative and office support within a complex organisation, supporting multiple stakeholders and priorities.
2. Experience of minute taking and meeting coordination, including preparing agendas, accurately recording decisions and actions, and following up on outcomes.
3. Proven ability to manage office administration and supplies, including ordering, record‑keeping and acting as a point of contact for office‑related queries.
4. Experience supporting recruitment and onboarding processes, such as coordinating interviews, liaising with HR, preparing documentation and assisting with inductions.
5. Strong organisational and time‑management skills, with the ability to manage competing deadlines, maintain accurate records and work proactively.
6. Experience working with financial or project data, including tracking budgets, forecasts, purchase orders or invoices, with a high level of accuracy and attention to detail.
7. Competent user of digital systems and Microsoft Office applications (including Word, Excel, Outlook and document management systems), with the ability to maintain and update records.
8. Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with colleagues at all levels.
Desirable criteria
1. Experience working within an Estates, Facilities, Capital Projects or Property environment, or a similarly complex operational setting.
2. Previous experience supporting project or programme management, including maintaining project documentation, trackers or reporting dashboards.
3. Knowledge of governance, procurement or financial processes, such as business cases, approvals, purchase orders or invoicing.
4. Experience using project management, finance or HR systems, in addition to standard Microsoft Office applications.
