Job Purpose
To provide comprehensive administrative financial support and carry out a range of reception duties to support the clinical, nursing, and administrative staff of the Equine Hospital and Practice
Main Duties and Responsibilities
1. To process financial transactions including sales invoices and payments, ensuring accuracy and adherence to financial requirements and controls.
2. To monitor, allocate and resolve general day-to-day enquires in a timely manner and escalating as appropriate to ensure operational delivery.
3. To provide standard reports and routine analysis of data to inform management and academic decision-making.
4. Monitor and update pricing as appropriate on the patient management system
5. To maintain and ensure integrity of data aligned to University, College, School and Financial systems and regulations.
6. To assist with the testing and implementation of systems and procedures to ensure the continuous improvement of the process and service delivery.
7. Provide support in reception as appropriate, communicating with clients and referral vets.
8. Scheduling appointments as appropriate and dealing with emergencies efficiently and professionally, ensuring that defined protocols are followed to ensure consistent service.
9. Daily use of all Microsoft Office software, practice management system and calls/messagin
10. Carry out credit control procedures, referring to the debt protocol when required.
11. Undertake any other reasonable duties as required by the line manager.
12. Engage in reasonable professional development activities as appropriate.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role
Desirable
B1 Knowledge of equine veterinary terminology
B2 Knowledge of veterinary products

C1 Strong IT skills with demonstrable skill in the use of Word and Excel
